We are looking for a Accounts Payable Assistant to join the team and provide timely, accurate and purposeful management of information as required by the A.P. Team Leader.
You will provide support in a accurate and timely manner processing of Vendor Invoices, dealing with Vendor queries, statement reconciliation, and running reports, enabling to maintain proper accounting records to ensure that the Annual Report and financial statements are prepared in accordance with the applicable law and regulations.
This role is hybrid working - 3 days home - (Mon/Tues/Wed) 2 days in our Birmingham office (Thursday/ Friday).
Job Description
What you will do...
Invoice Entry/ Invoice Checks
- Receive, verify and process supplier invoices
- Rejection of invalid supplier invoices.
Purchase Order Checks
- To ensure purchase orders match corresponding invoices and have been correctly raised
- Liaise with the procurement teams to ensure P.O,’s are raised correctly, and deal with any discrepancies .
Payments Auto/Foreign
- Running the automated payment runs and send out for approval
- Manual payment requests for one-time vendors/foreign suppliers/Proforma
Monitoring of Statement Recs
- Completing supplier reconciliations to ensure any missing invoices and differences are captured.
Monitoring the A.P. Mailbox
- Keeping the A.P. Mailbox up to date and deal with queries daily.
Remittances
- Sending out remittance to Suppliers
Month End Closing
- All invoices are processed for month end
- Month end closing procedures.
- Supporting on the GRNI GINR for month end, chasing vendors for missing invoices/statements
Compliance and Control:
- Review the accuracy of supplier information carried in Navision.
- Understanding of procurement and purchase order processes.
- Work with Credit Control and Management Accountants to ensure month end tasks are complete, re: Intercompany, GRNI/GINR
Business Insight:
- Understanding how your daily routine has an impact on the A.P ledger
- To build and develop skills that through their work they can use best practice to improve transactional efficiency, compliance/control and business insight through.
- Ensuring understanding and demonstrable implementation of the Values of Integrity; Vigilance and Helpfulness.
- Active steps to maintain communication.
Qualifications
What you will need...
Essential
- UK/ EU citizen or valid work permit.
- Experience of financial transaction processing.
- Excellent communication skills.
- Working knowledge of Microsoft Office.
- Working towards an accounting qualification. (ACCA/CIMA)
Desirable
- Working knowledge of Microsoft Dynamics Navision.
