The more sites you have in your estate the more complicated things can get when it comes to lone worker safety. Often each site has its own habits, escalation routine (or lack thereof), and protection that’s comprehensive at one location but below par at the next. It’s also common in such cases for no one to really have the full picture of what’s going on, or how things should be done. So how do you make lone worker safety consistent across every site you're responsible for?
The problem here is that countless small decisions are being made at different locations, which can lead to a significant disparity in processes. One site may have a robust check-in process while another relies on whoever happens to notice that someone hasn’t come back. And one might have a clear escalation route while another has no written escalation route at all.
Every new site adds its own lone workers, and without adequate management it also adds its own non-standard version of how things are done.
It’s important not to underestimate the scale of this problem. The British Security Industry Association estimates that up to eight million people in the UK are lone workers, with roles including everything from occasional home workers to fixed-site and field-based roles; meaning your sites probably contain more lone workers than you first imagined.
British employers have a duty of care to these workers under Section 2 of the Health and Safety at Work etc. Act 1974. Under Regulation 3 of the Management of Health and Safety at Work Regulations 1999 they’re also required to conduct a suitable and sufficient risk assessment at every site, not just the ones with obvious hazards. These responsibilities demonstrate that the duty of care owed to your staff must be managed consistently across the estate, rather than based on good intentions at individual locations.

The multi-site problem: fragmentation, patchy escalation, and no central view
As you open new sites, risk compounds rather than simply adding up. Three failure modes are especially common in a growing estate, and they often turn up together:

Inconsistent process
A site that was set up five years ago probably has a check-in routine that was designed by whoever the manager was at the time. A site opened a month ago likely has whatever routine the new manager improvised in week one. Expanded across 10 or 20 sites, this leaves you with many different routines and very uneven protection.

Patchy escalation
Some sites may have a clear escalation chain that establishes who's contacted if an alert is triggered, who’s contacted if they don’t respond, and at what point to contact the emergency services. Others may have no recorded process, leaving whoever receives the call to handle the situation as best they can, often improvising under pressure.

The crux of the problem is the inability to see, in real time, who's working alone and where, across every site. This is central to protecting lone workers across a multi-site estate. Without proper management, you’re left with a problem you could call a “postcode lottery” where someone doing the same job for the same organisation can be genuinely protected at one site, but exposed at the next.

Establishing a single standard for an estate means deciding what ‘good’ means to your organisation, then holding every site to it. It means creating one policy that applies everywhere, and one escalation protocol, so that everyone who needs to knows what happens if a lone worker doesn’t check in, or if an alert is triggered.
Consistent controls help: the same risk categories are assessed and managed at every site, even if hazards vary across locations, with central oversight that lets you see the whole estate rather than individual systems or platforms that reduce overall clarity.

Standardise the process: one policy, one protocol
Achieving ‘good’ across your estate requires following a number of steps:
Baseline every site
This gives you an honest view of what’s really happening at each of your sites now, rather than what any existing policy document says should be happening. Baselining often reveals a considerable amount of variation between locations, including sites without any documented process.
Write one policy that covers every location
Local details still matter, as a rural site presents different hazards from a city centre office, but the overall policy should be applicable to every site in your estate. It needs to comprehensively cover who counts as a lone worker, what triggers an alert, and what acceptable protection looks like.
Define one escalation protocol that works, regardless of site
Similarly, a single escalation protocol is necessary for estate consistency. As touched on, this needs to cover who is contacted when an alert is triggered, who’s contacted next if no one responds, and at what point to call 999.

Roll out in phases
When rolling out your policy, don’t try to convert the whole estate at once. Begin with your highest-risk sites to mitigate any serious exposure as quickly as possible, and continue in priority order.
Centralised monitoring: a single view across sites

Saying your estate is protected is different from being able to prove it. But when you’re robustly managing lone worker safety with centralised monitoring and a standardised process, you have an estate-level audit trail. This matters when an insurer or regulator asks how a specific incident was handled, and it can give real peace of mind - especially if previously you had to rely on the diligence of local managers.
Another benefit of doing things properly is the consistent KPIs and SLAs that make performance actually comparable across your sites. They allow you to track against a standardised benchmark and consequently make it easy to see when a site is underperforming and needs attention.
It’s wise to build in a regular review cadence at site and estate level, as these are different reviews that catch different things. At site level you can see whether that location's habits have started to drift, and at estate level you can see where your standard has stopped being applied consistently.
In practice: protecting a dispersed estate
